Signing of the deed of sale in the Property Transaction Service

The signing phase of the DIAS real estate transaction contains two parts: first, the parties give the authorizations required by the banks in the DIAS online service, and only after that is the deed of sale signed in the National Land Survey of Finland’s Property Transaction Service. The Property Transaction Service does not set a 24-hour time limit for signing the authorizations. However, the aim is to ensure that the process runs smoothly and that the signing takes place as quickly as possible after the authorizations have been signed.

Please note that the signatures of the deed of sale are always given in a specific order in the Property Transaction Service. Sellers and buyers receive invitations, each in turn, sent by the National Land Survey of Finland to log in to the Property Transaction Service. If a party to the transaction is a company, the company’s signatories specified by the real estate agent will receive invitations to the service.


Logging in to the service

You can access the Property Transaction Service (KVP) by entering the following address in your internet browser: kiinteistoasiat.fi

You can log in to the service as either a private customer or a business customer (if you sign on behalf of a company). Strong authentication is used to log in with personal online banking credentials or a mobile certificate. When you log in for the first time, the service asks you to complete your contact details. When a business customer logs in, the National Land Survey of Finland verifies the signatory’s role and right to sign from the Finnish Patent and Registration Office.

When logging in, you must enter your email address and accept the terms and conditions by checking the required box. You can then click “Jatka” (“Continue”) and log in to the Property Transaction Service.

Seller

First, one seller or a representative of the seller company must receive the deed of sale in the Property Transaction Service. If there are several sellers, the real estate agent has appointed one of them as the recipient of the draft.

Receipt of the draft

The recipient of the draft must first log in to the Property Transaction Service and receive the deed of sale for signing. Until the deed of sale has been received, the other parties to the transaction will not yet see the deed of sale to be signed in the service.

The seller selected as the recipient of the draft will see the “Saapuva luovutuskirja” (“Incoming deed of transfer”) item on the front page. Clicking it opens a preview view where the seller can review the deed of sale to be received. Please note that the seller may not create a new deed of transfer in connection with a DIAS real estate transaction. The existing deed must be received and then signed.

If the seller notices an error in the deed of sale, the signing phase must be interrupted and the seller must contact the real estate agent immediately.

In the preview phase, the seller can verify that the deed of transfer corresponds to the deed of sale previously provided by the real estate agent. Any errors must be reported without delay.

The sender must be Digitaalinen asuntokauppa DIAS Oy.

The seller receives the deed of sale by selecting “Vastaanota asiakirja” (“Receive document”).

After receiving the document, the service confirms that the deed of transfer has been received and directs the recipient to sign the deed of sale.


If spousal consent is required for completing the transaction, the spouse must give their consent in the Property Transaction Service after the deed of sale has been received. None of the parties may sign the deed of sale before the consent has been given. The person giving consent will receive a separate invitation from the National Land Survey of Finland.


Seller’s signature

After receiving the draft, the seller or the representative of the seller company can see the unfinished property matters and the property or facility ID of the object being sold on the front page. The seller selects “Kauppakirja” (“Deed of Sale”) to open the deed.

A preview view opens where the seller can review the deed of sale. All appendices are shown below the preview. The up-to-date status of signatures is also displayed. The service also enables the seller to pay the National Land Survey’s transaction fee and to purchase certificates related to the property, but the seller should not pay these in a DIAS transaction. By selecting “Siirry allekirjoittamaan” (“Go to sign”), the seller proceeds to the signing page.

The seller signs the deed of sale by selecting “Allekirjoita” (“Sign”).

After signing, the service confirms that the signature has been successfully completed.

The deed of sale remains unfinished until all parties have signed it. If a party is a company requiring multiple signatures, the deed remains incomplete until all required representatives have signed.


Buyer

Please note that the deed of sale becomes visible to the buyer only after all sellers have signed it. The buyer or the representative of the buyer company will then see the unfinished property matters and the property or facility ID on the front page. The buyer selects “Kauppakirja” (“Deed of Sale”) to view it.

The service fee charged by the National Land Survey of Finland must be paid by the last signing buyer or representative of the buyer company at the latest. The fee is paid in a separate window by selecting “Asiointi- ja lainhuutohakemusmaksu” (“Service fee and application fee”) for real estate sales or “Asiointimaksu erityisen oikeuden luovutuksesta” (“Service fee for transfer of a special right”) for leasehold transfers and clicking “Maksa nyt” (“Pay now”). The payment must be made in one instalment by a single party.

The buyer must also note that the service fee may already have been paid by a previous signatory.

The buyer must also give a declaration related to the municipality’s right of first refusal by selecting “Vakuutan” (“I declare”).

By selecting “Siirry allekirjoittamaan” (“Go to sign”), the buyer proceeds to the signing page.

Downloading a signed deed of sale from the Property Transaction Service

The signed and completed documents are stored in the service for 12 months. During this period, the parties can download the deed of sale and its appendices.

A party can view the completed documents by logging in and selecting “Valmiit asiakirjat” (“Finished documents”) on the front page.
